VOLUNTEER INFORMATION

We could not do it without the generous donation of time and talent from our volunteers! Volunteers are always needed. Please review the opportunities listed below and contact our Community Engagement Coordinator, Christy Glime, cglime@saintjohnsprogram.org to volunteer for this year's Polo for Change!

Set-up

Unlimited number of people needed 

9:00am-5:00pm Friday

6:00am-11:30am Saturday

Heavy table set-up on Friday, linens, plates, etc. and tableware Saturday.  Duties include setting up tables and chairs – some heavy lifting required.  Additional tasks include prepping venue for the event, setting tables with linens, serving ware and decor, display of signage and posters within venue, display of auction items, raffle/sales tables, setting out of glasses, plates, etc.

 

 

Volunteer Shuttles Routes 1&2  POSITIONS FILLED

 

4 volunteers needed per shift

Must have valid Drivers License to drive golf carts.

 

9:00am–2:00pm - Drivers will transport volunteers from the volunteer lot to the Volunteer Check In booth. 

2:00pm–6:00pm - Drivers will transport volunteers to the volunteer parking lot.  

 

Vendor Shuttles Routes 1&2 POSITIONS FILLED

 

4 volunteers needed per shift

Must have valid Drivers License to drive golf carts.

 

8:00am–10:30am - Drivers will transport vendors and their supplies as needed from the vendor parking lot to their designated booth.

4:00pm–6:00pm - Drivers will transport vendors and their supplies as needed from their booth to the vendor parking lot.

 

Royal Club/VIP Shuttles POSITIONS FILLED

 

6 volunteers needed per shift

Must have valid Drivers License to drive golf carts.

10:30am–2:00pm - Transport Royal Club and VIP guests from VIP parking to the registration booth.

 

2:00pm–7:00pm - Transport Royal Club and VIP guests from the pick-up point to VIP Parking.

 

 

Lawn Shuttles POSITIONS FILLED

4 volunteers needed per shift
Must have valid Drivers License to drive golf carts.

10:00am-1:00pm - Transport Lawn seat guests from Lawn parking to the registration booth.

1:00pm–7:00pm - Transport Lawn seat guests from the pick-up point to Lawn parking.

 

Volunteer Support POSITIONS FILLED

2 volunteers per shift

6:00am-10:00am and 10:00am-3:00pm

Help volunteers sign-in, get a name tag and a T-Shirt. 

 

Grand Prize Drawing

20 volunteers needed

11:00am-4:00pm

Junior volunteers can assist in this area with adult

Selling raffle tickets to guests throughout the event, requires outgoing personality and ability to be on your feet throughout the event. May involve cash handling. 

 

Silent Auction Tables

10 volunteers needed

10:30am-6:30pm

Monitoring auction items and bidding cards, distributing auction items, packing and labeling uncollected items.   

 

Registration Attendant-POSITIONS FILLED

8-10 volunteers needed

10:30am-2:00pm Checking in guests and assisting guests through the complete registration process, answering questions and reporting on updates to Vanessa Frates (Registration lead). Must be comfortable under pressure and handling computer system to process check in.

 

Greeter

Registration booth.

1:00pm–7:00pm - Transport Lawn seat guests from the pick-up point to Lawn parking.

 

Checkout Attendant

8-10 volunteers needed

3:00-7:00pm

Computing purchases and generating invoices for winning bidders and Fund-A-Need participants. Must be comfortable under pressure, accurate with data input and handling the computer system. May incur cash handling.

 

Bar Staff (must be 21 or older)

12 volunteers needed 

11:00am-6:00pm

Serve beverages to guests, wines, beers and mixed drinks. Requires ability to work under pressure and stand on your feet throughout the event. Must be a people person with a fun and outgoing personality.  Previous bar experience a benefit. 

 

Beverage Servers

22 volunteers needed

10:00am-6:30pm

To serve drinks to guests in the Royal Club, including water, wines and champagnes.  

 

Champagne Divot Stomp POSITIONS FILLED

6 volunteers needed

1:45PM-3:30PM

Prep champagne for champagne divot stomp, includes distribution of champagne, opening bottles and pouring for lawn guests.

 

Platers

15 volunteers needed

11:00am-4:00pm

Working in the kitchen prepping and plating food under direction of Chef and Captains. Requires experience of working in a kitchen or restaurant setting. 

 

Servers

30 volunteers needed

11:00am-4:00pm

Serve food to guests at the tables assigned to you. Requires attention to detail and tasks assigned by the Chef, ability to work on your feet for several hours and stay on task with timing and delivery of courses.  Restaurant experience a benefit. 

 

Bussers

30 volunteers needed

11:00am-4:00pm

Monitor tables assigned to you clearing plates between courses. Requires attention to detail constant focus on tables and ability to work on your feet for several hours and stay on task.

 

Vendor Registration-9:30AM-1PM POSITIONS FILLED

2 volunteers per shift

(9:30AM-1PM) (12:30PM-6:30PM)

Monitor vendor gate and check in vendors upon arrival. Direct them to the main polo field where vendor assistants will be on hand to help. 

 

Vendor Assistants

2 volunteers per shift

(9:30AM-1PM) (12:30PM-6:30PM)

Oversee the Promenade area where vendor shops are located. Direct the vendor to their booth and assist (if necessary) in getting additional tables or supplies for the vendors.

 

Guest Liaison Roles

6 volunteers needed

10:00am – 6:00pm

Assist the areas leads in monitoring the guest areas, answering timing and schedule questions for the event. One of the primary duties is to monitor the Field Boundary line to ensure guest safety.

 

Children's Zone-11:00AM-2:00PM POSITIONS FILLED

3 volunteers per shift

(11:00AM-2:00PM) (2:00PM-6:00PM)

Assist the children with arts and crafts and pony rides.

 

Equine Area

6 volunteers needed

10:00am-4:00pm
Assist the Equine lead with all duties related to the horses and demo teams. Ensuring players have water and food, keeping guests out of the equine area, running tasks as needed for players and other equine demo groups; assist lead with getting demo groups ready in time and coordinate with golf cart leads to ensure shuttles available for riders to go to/from barn when needed. Must have experience working with horses.

 

Facilities Management

2 volunteers needed

10:30am – 6:30pm

Assist the Facilities Management lead with all duties related to maintaining the site, included but not limited to: set-up and tear down of tables/chairs, etc. during the day; distribution of ice to bars and vendors; monitoring recycling and trash bins and signage around site; help keep site safe and liter free.

 

Clean Up

Unlimited number of volunteers needed

6:00pm-10:00pm

Packing up of event, clearing tables, auction items, supplies and linens, breaking down tables and chairs, take down of signage, clean up, etc.  





All volunteers, please wear khaki pants, comfy shoes and we will provide you with a Saint John's Volunteer tee. Thank you!
